In many cities, landlords get many applications per flat. A clear, complete pack in correct formal German helps you look serious—but income, documents, and timing usually matter more than wording alone. This guide sets expectations so you do not blame yourself (or a tool) when the market is simply tight.

Typical steps (varies by landlord)

  1. Find a listing (portal, agent, network).
  2. Shortlist: cold/warm rent, location, minimum term, furnished or not.
  3. Apply or register for a viewing (Besichtigung).
  4. Send or upload your application pack: cover letter, CV-style facts, sometimes Schufa and income proof.
  5. Wait, follow up politely, accept or keep searching.

Portals and agents use different flows; some want e-mail, others only web forms with character limits. That is why reusable Betreff, long body text, and short Steckbrief variants matter.

Documents people often ask for

Requirements differ. Common asks include: ID copy, Schufa-Auskunft, payslips or contract, Mietschuldenfreiheitsbescheinigung from a previous landlord, bank statements, visa or residence permit, and for students a blocked account or guarantee. Reading the listing (before you fall in love)

Tone: Sie, short, factual

Landlords and agents skim. Lead with who you are, income stability, household size, and move-in window. Avoid slang, long stories, or demanding language. If German is not your first language, start from a formal template and edit every line until it is true for you.

What usually matters more than fancy wording

  • Stable income or a credible way to explain income support
  • Document readiness: ID, Schufa, payslips, contract, guarantee if needed
  • Fast response while the listing is still active
  • Clear household facts with no confusing gaps
  • Formal, respectful German that does not create friction

Good wording helps mainly because it makes you easier to understand and easier to sort quickly. That is a real advantage in competitive cities, but it is not a substitute for missing documents or weak fit.
